We're looking for a Digital Operations & AI Program Manager to help us implement, scale, and deliver on the AI innovation already underway.
This is a first-of-its-kind role at the agency, one that sits at the intersection of operational excellence and AI innovation. You'll work with our AI innovation team – comprised of strategists, designers, marketers and technologists – to help shape how we adopt and scale AI across the organization and for our clients. You’ll also help keep people, projects, and platforms running smoothly. What you’ll do
This role is roughly split between digital operational support (~60%) and AI program ownership (~40%), though the balance will shift as the AI practice matures.
Digital Operations
• Support weekly resource planning by auditing data, flagging capacity gaps, and coordinating staffing adjustments
• Maintain clean, reliable operational data in HubSpot and Teamwork, ensuring accuracy across project timelines, time tracking, and pipeline data
• Coordinate with vendors, track contracts, and support administrative and cross-functional operational requests
• Provide project management on internal initiatives, company goals, and rolling out client-wide programs
• Support process improvement initiatives and facilitate retrospectives for web redesigns and marketing campaigns; document and track improvement actions
• Assist project managers with day-to-day ops needs as they arise
• Help systematize forecasting inputs and PM opportunity reporting to improve revenue predictability
AI Program Management
• Work closely with our Lead Strategist, AI & Innovation, to manage the agency’s AI intake and prioritization process — keeping initiatives scoped, tracked, and moving forward with clear ownership and defined outcomes
• Help evolve the agency’s AI roadmap as priorities and capabilities shift, ensuring alignment with operational and client service goals
• Manage end-to-end project management of AI initiatives, including budgeting, resourcing, timelines, and stakeholder accountability
• Keep the agency’s AI knowledge base current and useful — tools, initiatives, and learnings organized and accessible across teams
• Coordinate and facilitate the agency’s AI working group and related stakeholder meetings, including agenda development, status tracking, and cross-team communication
• Evolve repeatable frameworks for operationalizing AI solutions across internal workflows and client-facing services
• Partner with strategy, development, UX, and account services teams to keep AI initiatives connected to broader agency and client priorities
• Support the development of AI-enabled service offerings, helping translate capabilities into scalable, client-ready solutions

Qualifications
• 3+ years of experience in operations, project management, or program coordination — digital agency or consulting background a plus; we’re open to exceptional candidates a few years out who can demonstrate the PM maturity this role requires
• Strong analytical thinking and expertise in working with data, spreadsheets, and operational reporting
• Familiarity with platforms like HubSpot, Teamwork, and Slack
• Hands-on experience with AI tools such as ChatGPT or Claude, and genuine curiosity about applying them to real operational problems
• Experience with or interest in workflow automation tools such as n8n is a strong plus
• Comfortable owning tasks and small projects independently, meeting deadlines, and working across teams without heavy direction
• Strong written communication and the ability to present ideas clearly to both peers and leadership
• Experience building or improving internal processes, documentation, or operational systems is a plus
• Familiarity with prompt engineering, AI program management, or AI tool evaluation is a plus — but we’re happy to help develop this
