Title: First Hire — Part-Time Ops Admin + Builder for AI Automation Studio (10–15 hrs/week)
About Hedberg Solutions
We're a Colorado Springs-based AI automation studio. We build CRMs, internal tools, and automation systems for small businesses — and we run our own portfolio of bets on top of the same stack.
You'd be employee #1. That means you'll have direct access to the founder, real ownership over how the back office gets built, and a front-row seat as we go from solo operator to small team.
What You'll Do
This role is half admin, half builder. You're not just doing tasks — you're helping design the systems we'll use to run the company and deliver client work.
- Build out and maintain our internal CRM (Supabase + Next.js stack)
- Monitor lead pipeline: track inbound, follow up on outbound, keep deal stages clean
- Build automation workflows in n8n, Zapier, and Make for us and for client companies
- Help build CRM and automation infrastructure for client companies (templated workflows, SOPs, dashboards)
- Lead research and list-building for cold outreach (specific Colorado Springs zip codes and verticals)
- Inbox + calendar management (Gmail, Google Calendar) — triage, schedule, draft replies in our voice
- Document prep, SOP drafting, and Notion/Google Drive organization
- Light bookkeeping prep — categorize transactions, prep expense reports
- Meeting notes and action items from Fireflies/Granola transcripts
- Drafting client-facing emails, proposals, and follow-ups from templates
Required Tools (Must Be Fluent)
- Claude (Pro or Max subscription, used daily — this is non-negotiable)
- n8n, Zapier, AND Make — heavy hands-on experience building real multi-step automations, not just templates
- Google Workspace (Gmail, Calendar, Drive, Docs, Sheets)
- Notion (databases, not just pages)
- Slack
- 1Password
- Loom or equivalent for async video updates
Coding / Technical Languages (Must Have At Least 2)
- TypeScript / JavaScript
- React / Next.js (App Router)
- HTML + CSS (Tailwind preferred)
- SQL (Postgres flavor — we run Supabase)
- Python (for scripts, scraping, light automation)
- Bash / shell scripting basics
- Git + GitHub workflow (branches, PRs, commits)
Nice to Have
- Supabase (auth, RLS, edge functions)
- Vercel deployments
- Stripe API integration
- Apollo, Clay, or similar prospecting tools
- Airtable or other structured database tools
- Experience with cold outreach / sales ops support
- Any past experience as a first hire or early ops person
Required Subscriptions/Setup on Your End
- Starlink or equivalent enterprise-grade internet (ideally Starlink — we run remote-first and need rock-solid uptime)
- Backup connection (mobile hotspot at minimum)
- Modern computer that can run Chrome with 20+ tabs, Notion, Slack, and a code editor (VS Code or Cursor) simultaneously
- Claude Pro or Max subscription (mandatory — reimbursed if needed)
- Cursor, Windsurf, or Claude Code experience strongly preferred
- Quiet workspace for occasional video calls
- US time zone overlap of at least 3 hours/day (MT preferred)
Who You Are
- 2+ years as a VA, EA, ops admin, or junior developer working with a small business or solo operator
- You can switch between admin tasks and writing code in the same day without losing your mind
- You actually use Claude daily — not occasionally, not "I've tried it"
- You've built real automations in n8n, Zapier, or Make that are still running in production somewhere
- You want to be a first hire, not a cog — you like ambiguity and building from scratch
- Native or near-native English written communication — you'll draft emails clients will read
- High agency: you take a vague task, ask one clarifying question, and ship it
- Discreet — you'll see financials, contracts, code, and prospect data
- You read instructions carefully and follow them exactly
How to Apply
Start your proposal with the word "Antique" so I know you read this.
In your proposal, include:
1. Your current tech stack — tools and languages you use every day
2. Your internet setup (provider, speed, backup)
3. One specific n8n / Zapier / Make automation you built — what it does, how many steps, what it connects
4. How you use Claude in your daily work (be specific — projects, MCP servers, agents, workflows)
5. Your hourly rate and current weekly availability
We'll start with a paid 5-hour trial project. If it goes well, we move to an ongoing 10–15 hrs/week arrangement, with real room to grow as the company scales.
No agencies. No bid-and-bait. Solo operators only.
